Gradebook and the Parental Access Support System (PASS)

The gory details (welcome to my world)
Now that I had a day after it was first reported and a volunteer (Annette), I was able to get the Web/PASS fixed on a Mac.
Basically, it was a simple matter of setting a Mac path in Schoolmaster and making sure that the Mac computer I was working with had the needed shared networked folder available for this path. This same Mac path in Schoolmaster will point to this same shared networked folder on your Mac computer as well. This also happens to be the shared networked folder containing the pushed Gradebook data living on the HS Schoolmaster server. It is also the very same folder that contains the Gradebook/Schoolmaster data that gets pushed to the Web server, is updated, and available for those with a PINs viewing pleasure @ http://www.jayschools.org/jhssm/WEB.
What this means to you
On everyones Mac this shared networked folder I talked about above has to be setup on each computer to automatically load upon login in order for Gradebook to work. There was an announcement made via email in the Jay High School mailbox about this. Norm is going around taking care of this for the staff and once that is done all one needs to do is fire up Gradebook and push the Web/PASS button.
Of course there is a training need for proper Gradebook setup, what to send, when, etc. which we are all very lucky to have Randy's assistance for :-)

How the grades get to the Web
Your Gradebook Progress Report Export --> Schoolmaster Server --> Jay Web Server
When Mike tried to use the command from his Grade Book, Web/PASS he got an error "You must establish a connection to SchoolMaster." What does this mean, Scott?
Answer: You have to turn both on when you are doing it.
When I tried to use the command from his Grade Book, WEB/PASS I got the error "No web directory has been
specified in schoolmaster." I had both on.

It looks like the Mac computers are not playing nice.
Annette has been very helpful in trouble-shooting this bug. She was able to avoid the above errors using her PC. Because this PC in question did not have her real Gradebook, she will be trying with the one that does, and hopefully we will have a completely successful test.
This will prove that indeed it is a Mac client issue and give us a starting place to trouble-shoot.

This is the very same fold that eventually gets pushed to the Web server for viewing pleasure.
So on the Macs this shared folder has to be setup on each computer to automatically load upon login in order for Gradebook to work. There was an announcement made in Jay High School about this and Norm is going around taking care of this for the staff.
Once that is done all one needs to do is fire up Gradebook and push the Export to PASS button.
Of course there is a training need for proper Gradebook setup, what, when, etc.

Steps going forward:
1. Generate pin #s (Julie, Lynn) for the piloted students; the rest when we know it works. (Includes moving locker #s out of the PIN field in SM.) Randy, take the classes one per piloting teacher. PINS HAVE BEEN GENERATED....2/8/08
2. Draft parent letter (Julie, Lynn) "We will not send it until we are sure the system is tested (piloted) and works."
3. Verify list of piloting teachers (Randy) (Annette Girardin, Janet Benedetto, Maria Rier, Susan Knowles, Dan Lemieaux, ???.)
4. Have Piloting teachers "export to PASS" and verify that the data has transferred (Randy, Scott M.) (The piloting process is for troubleshooting, and does not include notification, etc.)
5. Notify Parents of piloting teachers' students that they may view students' data (provide them with their PINs.) (Julie, Lynn.) Not sure we have to do this if the pilot is kept "in-house".
6. Identify remaining issues (feedback from parents through teachers or guidance, back to technical crew if technical.) We need more help from the technical side. For example, I have a very clear vision of what I'd like to see. I just don't know how to get there . Randy is held in very high regard by the staff. Is there any way this can be assigned his "baby". It already is at the teacher level.
6 Revised: The passage in red above suggests additional training or support for teachers? Verify that teachers are able to and using the system? I am not sure about h
7. If no remaining issues, issue all PIN#s and allow parent access for all students. We may need a "workshop" for parents.
Scott needs the system to be populated with data, in order to troubleshoot, but Guidance says they will not generate PINs "until it works."

By vacation teachers will be ready. Teachers are free now to push data. Randy will encourage them.
Guidance will do the pins, so the data can be populated. Parents will not have access until the system is fully ready.
Guidance will provide to Joe a list of fields which will not be populated in the first Rev. Joe will remove them from the parent "dashboard." (They can be added later.)
Guidance will compose the parent letter.
Joe will send to Lynn a link to a sample letter.
The P.A.S.S. Implementation Team (P.I.T.:) will meet again at 2PM on Monday, February 11.
